Guest Access App

A Guest Access App is a web app that does not require login to CELF BrowserAccess.
Anyone who knows the app URL can use it, even without a CELF account.

Important

  • Creating a Guest Access App requires CELF BrowserAccess Guest Access Plus (paid) in addition to the CELF BrowserAccess license.
  • There is a usage limit based on your license.

Differences from Standard CELF Web Apps

The main differences from standard CELF web apps are as follows.

Create a Guest Access App

The procedure for creating a Guest Access App is almost the same as for a standard CELF web app, but you must specify Guest Access App at the start of creation.

  1. Open the "Web App Management" tab in the administration screen.
  2. Click the "+New Web App" button. Enter the app name, check the "Create Guest Access App" checkbox, and click "OK".

Attention

  • The "Create Guest Access App" checkbox cannot be changed after creation. To change it, delete the app and recreate it.
  1. Select a template. The following templates are available in the Guest Access App.
    • 'An app to register new data'
    • 'An App for creating and submitting application data'

Attention

  • When selecting the "Create and Submit Application Data App" template, the following additional conditions apply to selectable tables. This is because Guest Access App users do not have CELF organization or supervisor information.
    • In all circulation routes assigned to the table, the assignee of the application step must be "Drafter" only.
    • In all circulation routes assigned to the table, "Drafter’s Supervisor" must not be used in any step.
  1. Customize the behavior of the app. The customization method is the same as for a standard CELF web app.

Set up email notification after registration

In a Guest Access App, you can send a confirmation email to the user who registered data. The following is an example using the "Create New Data App" template.

  1. In the input/display method for a column with data type "String", select "Confirmation Email Address".

  1. Check the "Send email after registration" checkbox and click the "Email Settings" button.

Tip

  • If the app has no column with "Confirmation Email Address" set, no email will be sent even if "Send email after registration" is checked.
  • For the "Create and Submit Application Data App" template, the checkbox is displayed as "Send email after submission".
  1. Edit the subject and body, then click "OK".

Tip

  • The subject and body are pre-filled with a draft.
  • Writing {{column name}} in the body will replace it with the entered value when the email is sent. This can also be inserted using the buttons in the "Items to add to body" section.
  • "Confirmation Email Address" can be set on up to 5 columns per app.
  • If "Confirmation Email Address" is set on multiple columns, an individual email is sent to each entered address.

Get the Guest Access App URL

When you create a Guest Access App, a dedicated URL is automatically generated.
To allow users to access the Guest Access App, you must publish the app and distribute the dedicated URL.
For instructions on publishing the app, refer to Publish an app.
  1. Open the "Web App Management" tab in the administration screen.
  2. Right-click the target app record and click "Publication Settings".

  1. The Guest Access App URL is displayed on the "Other" tab. Copy the URL and distribute it to users.

Attention

  • Anyone who knows the URL can access the app. Be careful about who you share it with.
  • If the app is not published, users will not be able to access it even if the URL is shared.

Regenerate the Guest Access App URL

Each Guest Access App has a unique URL.
If you want to change the URL, you can regenerate it.
  1. Open the "Web App Management" tab in the administration screen.
  2. Right-click the target app record and click "Publication Settings".

  1. Click the "Regenerate URL" button on the "Other" tab.

  1. Click "Yes" in the confirmation dialog.

  1. Click the "OK" button in "Web App Publication Settings" to apply the regenerated URL.

Attention

  • Regenerating the URL of a published app will make the previous URL inaccessible.

Guest Access App Page Specifications

The Guest Access App screen differs from a standard CELF web app in the following ways.

  • The logout button is not displayed.
  • In the "Create and Submit Application Data App" template, the application is submitted automatically by clicking the register button on the circulation registration screen.
  • In the "Create and Submit Application Data App" template, the comment input field is not displayed when submitting an application.

Check Guest Access App usage status

The usage count for Guest Access Apps can be checked from the "Usage Status" view.
For the "Usage Status" view, refer to Check usage status.

The counted actions vary depending on the template.

[1] A summary of the usage status for the current contract period is displayed at the top of the tab.

Item Description
Aggregation Period For monthly contracts, the current month is displayed (e.g., 2026/06). For annual contracts, the current contract year starting from the contract start month is displayed (e.g., 2026/04 to 2027/03).
Limit The maximum usage count for Guest Access Apps as set by the license.
Current The current usage count within the aggregation period. The "Current" value may be reflected with a delay.

"Monthly Aggregation" Tab

Item Description
Year/Month The year and month of usage.
Usage Count (Total for All Apps) The total usage count for all Guest Access Apps in that month.

Filter by Web App Name You can filter the list by entering a web app name.
Web App Name The name of the Guest Access App. If the app has been deleted, "(Deleted App)" is displayed.
Year/Month The year and month of usage.
Usage Count Monthly usage for the app.

Important

  • Even if a user who is already logged in to CELF BrowserAccess accesses the app, it operates as a guest access user regardless of login status, and the usage count is also incremented.
